How do I get started with Casera?

Getting started is simple - just give us a call on 01473 875354 and we’ll have you onboarded and ready to order within 10 minutes.

Do I have to watch a demo before joining Casera?

No - Casera has been built to be so intuitive that hopefully you won’t even need a demo!

I want to switch from my current search provider - what do I need to do?

Just call or email us, and we’ll set up your account right away. Don’t worry about long onboarding times if your current search provider is letting you down or you just think we look really great!

Is there a minimum monthly order requirement I have to commit to?

No, there isn’t but hopefully you’ll love our service so much that you’ll send us all your orders (and you’ll tell your colleagues too…)

Will I have a dedicated contact person for my orders?

Yes! We assign every client a dedicated search team to ensure a seamless and responsive experience.

Ordering and tracking

What are your turnaround times?

Council search turnaround times vary from one to the other, but our regulated search product is significantly faster. Our platform provides live turnaround times for all council and regulated reports, so why not create an account and check them out for yourself?

How long do quotes take to come back?

We aim to turn all quotes around within 24 hours. If you're waiting three days or more for quotes to come back, it might be time to switch search provider!

What happens if a search is delayed?

Council delays can happen, but our system keeps you automatically updated with new estimated completion dates, helping you manage client expectations.

Can I track the progress of my searches?

Our system provides automatic updates, including real-time status changes and new estimated completion dates for any outstanding searches.

I have a large number of orders to submit - can you help with the uploading?

In our ordering menu just simply select ‘bulk order’ and you can attach a spreadsheet with the property details and products needed and we will do all the uploading and ordering for you.

Can I cancel an order?

We understand cancellations can happen from time to time. To cancel an order please call your dedicated search team to discuss your options.

Property searches

Searches and reports

What types of property searches do you offer?

We offer a wide range of searches and reports, including Local Authority, Environmental, Drainage & Water, Planning, Chancel, AMLs and more.

What is the difference between a regulated and an official local authority search?

An official search is compiled by the council’s own staff, who issue an LLC1 certificate and reply to the CON29. A regulated search is compiled by an independent search agent, who inspects the same registers and answers the same enquiries in a report.

Can I order CON29O optional enquiries?

Yes. Every CON29O enquiry is available when you order.

What areas do you cover?

We provide search services across England and Wales, ensuring comprehensive coverage wherever your transactions take place.

Can I order local authority, drainage and water and environmental searches together?

Yes. Add them to one order and they sit on a single case. If you order the same set every time, ask for your own search pack and benefit from discounted prices.

Which environmental search providers can I choose from?

Groundsure, Landmark and Martello. Pick the provider your firm prefers when you order.

What do the green, amber and red flags mean?

They show you where to look first. Every section on the summary page is flagged: green is low risk, amber may require attention and red requires attention. In the sample, a road that is not adopted and foul water that does not drain to a public sewer are both flagged red.

Does every regulated local authority search include the Stewart Title indemnity?

Yes. Every regulated local authority search comes with Stewart Title’s regulated local search indemnity, which covers errors, omissions and missing answers. The policy documents are at the back of the sample.

Are your searches covered by the Search Code?

Yes. Casera Search Technology is registered with the Property Codes Compliance Board as a subscriber to the Search Code. If a complaint is not resolved, it can be referred to The Property Ombudsman.

What does your Regulated report look like?

Document retrieval

Which documents can you retrieve?

Any document that relates to a property search, most often from a local authority. There is no fixed list. If you are not sure whether we can get it, ask and we will tell you.

How do I request a document?

Submit a request through Casera, or email or call your search team with the property and the document you need.

Is this done by Casera or by a third party?

By Casera. Our own search team sources the document from the relevant authority on your behalf.

Onboarding and compliance

AML and source of funds

What is the difference between a Safe Harbour check and a Lite check?

A Safe Harbour check reads the chip in the client’s passport and matches their face to it, meeting HM Land Registry’s Digital ID standard. A Lite check is for clients who are less comfortable with technology or have no smartphone. It checks their details against data sources, but it does not verify the ID document: you upload the ID as evidence and verify it yourself. A Lite check does not give Safe Harbour protection.

Does my client need to download an app?

For a Safe Harbour check, yes: your client uses the Verify365 app so their smartphone can read the chip in their passport. A Lite check needs no app and no smartphone.

Can I check clients who live overseas?

Yes. Clients from more than 200 countries can be verified, using over 10,000 types of government-issued identity document.

How does the source of funds check work?

Your client approves access in their own banking app through FCA-regulated Open Banking. Their transaction and balance data comes directly from the bank and is returned to you as a verified report. No bank statements need to be uploaded.

Is there a sign-up fee, a minimum spend or a contract?

No. Casera is an ordering platform, not a dedicated AML provider, so there is no sign-up fee, no minimum annual spend and no contract. You pay for the checks you order and can stop whenever you like.

Can estate agents and mortgage advisers order AML checks?

Yes. Anyone who needs to check a client can open a Casera account and order Safe Harbour or Lite checks and source of funds, on the same terms as a conveyancing firm: no sign-up fee, no minimum spend and no contract.

Where are the results kept?

Every check is time-stamped and stored against your Casera case, giving your firm a full record for the SRA and other regulators.

Casera Referrals

How do we get started with Casera Referrals?

Create your firm’s account at casera-referral.com, set your fees and invite your estate agents. Leads can start arriving the same day. Prefer a walkthrough first? Book a demo.

Can my whole team use it?

Yes. Invite as many colleagues as you like. Everyone at your firm sees the same leads.

Who sets the fees, and what if they change?

Your firm does. You set your fees once and can change them at any time. New leads are quoted at the new fees; quotes already sent stay as they were. If a quote needs updating, you re-quote and the client gets a fresh link. A quote already in the client’s hands is never silently edited.

What happens when a client accepts?

You are notified right away. The lead is marked accepted and is ready for you to instruct.

Who sets the referral fee, and when is it paid?

Your firm chooses what it pays per instruction, and the agent sees it on every quote. Once the referred client instructs, Casera marks the lead instructed and records the fee for the firm and the agency, showing each side its running total. Payment itself is between the firm and the agency.

Can we invite introducers who are not estate agents?

Yes. Mortgage advisers, property developers, auction houses, relocation firms and lettings agents can all be invited as referral partners. Each gets its own login and quotes from the same price list.

Do estate agents pay anything?

No. Estate agents never pay. Your firm invites them, and they earn a referral fee when a client instructs you.

Do clients need an account?

No. The client gets a link by email and text, taps it and sees the quote. No password.

Insurance and due diligence

Legal indemnity insurance

What kinds of defect can be covered?

The full range of everyday conveyancing defects, including defective title, restrictive covenants, chancel repair liability, missing documents, lack of building regulations consent, absent landlord, rights of way, fraud and search-related risks. If a risk is not covered by a standard policy, Stewart Title’s underwriters can assess whether bespoke cover is available.

How quickly can I get a policy?

Standard policies are ordered in three steps and can be issued the same day. Bespoke policies that need an underwriting assessment can take longer, depending on the risk.

How long does a policy last?

Most policies are issued in perpetuity for a one-time premium, with no ongoing fees. They protect the insured, their lender and their successors in title for as long as they hold an interest in the property.

Can I combine several risks in one policy?

Yes. Several risks can be combined in a single quote, and a combined premium discount is applied.

Who provides the policies?

Stewart Title Limited. Casera is an Appointed Representative of Stewart Title Limited. Specialist guidance and bespoke quotations are handled directly by Stewart Title’s underwriting and customer service teams.

Company and individual searches

Can you get a report that is not listed?

Yes. Email or call your search team with what you need and we will source it for you.

Do you cover companies outside the UK?

Yes. Both UK and international company and individual searches can be ordered through Casera.

Reporting and completion

Report on Title

How do I get started?

Email your account manager or hello@casera.co.uk and we will set it up for your firm.

Who writes the content in the reports?

The precedent content is written and maintained by qualified, practising solicitors who review and update it regularly. You can also create and manage your own precedents to supplement or replace the standard library.

Can we use our firm’s own branding?

Yes. Set your preferred font, heading sizes, colours and page margins, and upload your firm’s logo. Every report is produced with your branding applied.

Do my staff need training?

It is designed to be intuitive, with help built into the product. Most users are productive quickly without formal training.

Who is responsible for what the report says?

Your firm. The questionnaire and precedents give you a consistent, solicitor-written starting point and you can edit any part of the report, but it remains your firm’s advice to its client.

Lawyer Checker

When should I run the check?

Before any funds transfer, on the day you intend to send the money. The check takes seconds, and the indemnity only covers funds transferred on the same day the search is ordered.

Which firms can I check?

Firms across England, Wales, Scotland and Northern Ireland. As well as the lender panel database, Confirmly holds data on off-panel firms that are regularly searched against, and can manually verify firms that are not yet in the system.

What does the indemnity cover?

If a match result leads to funds being sent to an incorrect recipient, your firm is indemnified for the value of any unrecovered funds, up to £250,000. It applies to match results only, and to funds transferred on the day the search is ordered. Match with cautions and no match results are not covered.

What if completion is delayed?

Re-run the check on the new day at no additional cost, so the indemnity covers the day you send funds.

Lender Handbook

What is the UK Finance Lender Handbook, and what is Part 2?

The handbook sets out the instructions mortgage lenders give to the conveyancers acting for them. Part 1 holds the instructions common to all lenders. Part 2 holds each lender’s own requirements. Part 2 is the part that changes, and the part this report monitors.

Why do I need this if I already check the UK Finance Handbook myself?

Lenders can change their Part 2 requirements at any time, and UK Finance does not notify you or keep a log of when changes are made. Checking the full handbook by hand before every exchange is slow and easy to get wrong. The LC-5 report scans the database four times a day and presents only the changes relevant to your lender.

When should I run a check?

At a minimum, before exchange of contracts. Best practice is to run one on instruction and again before exchange. Each report allows up to five checks per case, so you can refresh if the transaction runs longer than expected.

Which lenders are covered?

Any lender listed in the UK Finance Lender Handbook.

How does this help with CQS?

The CQS practice notes require firms to hold compliance records for Part 2 requirements before exchange. The report is exactly that: a clear, dated, auditable record of what you checked and what the lender required at that point.

Billing and integrations

How does billing work?

We use weekly direct debits as standard. If you’re a client who will be submitting a large number of orders, we can look to offer a more custom billing process.

Do you integrate with case management systems?

We’re always improving our tech capabilities - get in touch to discuss potential integrations for your workflow.
